We are seeking a highly organized and proactive Assistant to provide direct support to the Country Manager while also serving as a key interface with the Cluster HR department. This role combines classic administrative and office management tasks with broader responsibilities. The successful candidate will ensure smooth daily operations, manage office resources, and contribute to an efficient and collaborative work environment.

Key Responsibilities

  •  Administrative Support to Country Manager
    • Provide daily assistance including scheduling, correspondence, and preparation of documents
    • Support coordination of internal and external meetings, visits, and events.
    • Act as a trusted point of contact between the Country Manager and internal/external stakeholders
  • Office & Facility Management
    • Oversee day-to-day office operations and ensure a professional work environment
    • Manage procurement of supplies (e.g., stationery, gifts, business cards) and maintain vendor relationships
    • Coordinate car rentals and ensure vehicle maintenance
    • Manage booking and processing of overhead invoices
  • People Operations Support
    • Serve as a local point of contact for the Cluster HR team, providing administrative support (scheduling interviews, managing the dispatch and return of employment contracts, assisting with personnel documentation)

Qualifications & Skills

  • Proven experience in an assistant, office management, or administrative role
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Excellent communication skills in Polish and English (written and verbal)
  • Proficiency in MS Office 
  • High level of discretion, professionalism, and interpersonal sensitivity
  • Proactive mindset with strong problem-solving skills
